SUMMARY: Grad Assistant helps the Program Coordinator provide support to the 18 Greehey Scholars enrolled in the program.
JOB DETAILS: Position works August through May (academic year). Approximately 20 hrs. per week, Monday through Friday, during standard business hours (8:00 am to 5:00 pm), some flexibility required for special projects. Position pays $12.00 hr. ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Attends the Greehey Scholar Program (GSP) seminar meetings, and local Business Interaction Program (BIP) visits
· Manages Requirements Fulfillment Agreements (RFAs) by reviewing all documentation (timesheets, certifications, company research, biographies, etc.) submitted by scholars, and entering all points attained
· Develops rapport with scholars and routinely review scholars’ Program performance
· Maintains detailed records of all scholar documents in individual scholar files (individual conference/travel funding, probation/suspension status’, study abroad experiences, internships, awards/accomplishments, employment, etc.)
· Communicates with scholars via email: weekly reminders of meetings, company visits, attire, parking instructions, deadlines, etc
· Keeps program coordinator informed of scholars’ service hours progress and RFA completion
· Updates program handbook with policy changes
· Assists program with creating Qualtrics surveys, evaluations, and admissions score sheets
· Assists program coordinator with Admissions Weekend – prepare interview materials and schedules, review score sheet data, and be readily available both days (Feb 24 & 25)
· Assists with daily clerical tasks such as scanning documents, proofreading scholar submissions, acquiring necessary signatures for financial documentation, etc
· Performs other duties as assigned.
QUALIFICATIONS:
• Must have earned bachelor’s degree and currently pursuing a graduate degree at St. Mary’s University.
• Must be in good academic and student conduct standing.
• Must demonstrate an understanding of confidentiality.
• Must be committed to working collaboratively with a diverse and dynamic community.
• Must have knowledge of Microsoft Office (Word, Excel, Outlook, Teams, and Zoom or similar platforms)
• Strong written, verbal and interpersonal communication skills are necessary in person, writing and by phone; Strong and collegial interpersonal skills and an ability to communicate effectively across
• Strong organizational, critical thinking and problem-solving skills, and detail oriented.
• Excellent customer service skills with ability to provide service to the university community; Professional demeanor, appearance and strong work ethic.
• Ability to take initiative, work independently, meet timelines, organize information, attend to details, and the ability to multi-task in a fast-paced office
PHYSICAL DEMANDS:
· Must be able to move across the university campus to conduct day to day business.
· While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 25 pounds.
· Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
· Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner.
· Constantly operates a computer and other office productivity machinery.
