SUMMARY
The Graduate Assistant (GA) will support the daily operations of the Dean’s Office in the College of Arts, Humanities, and Social Sciences (CAHSS), focusing on projects and initiatives directed by the Dean and/or led by the Associate Dean for Faculty Matters. Responsibilities include research, literature reviews, data analysis, reporting, event coordination, and general administrative tasks.
This position is ideal for a graduate student interested in higher education, academic administration, or liberal arts leadership, offering insight into faculty affairs, institutional data, and collaborative university processes.
EXPERIENCE: Previous relevant work experience preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Conduct literature reviews and academic research at the direction of the Dean or Associate Dean
- Export, format, and organize faculty and academic data into standardized reporting templates
- Support creation of annual reports, accreditation materials, grant documentation, and internal reviews
- Assist with data entry, organization, and basic analysis using Excel or other tools
- Help prepare meeting materials, agendas, summaries, and related documents
- Provide general office support: clerical tasks, scheduling, communications, etc.
- Coordinate or assist with surveys, email outreach, and digital communications
- Manage or contribute to ongoing special projects and initiatives
- Run on-campus errands and support occasional events outside regular office hours
- Other duties as assigned
QUALIFICATIONS
- Must hold a Bachelor’s degree and be enrolled in a graduate program at St. Mary’s University
- Strong written, verbal, and interpersonal communication skills
- Strong organization and problem-solving skills
- Ability to work collaboratively with faculty, staff, and peers in a professional environment
- Familiarity with Microsoft Office Suite (especially Excel, Word, Outlook)
- Ability to perform academic research and literature reviews
- Experience organizing data and formatting content for reports or templates
- Highly organized, detail-oriented, and self-motivated
- Able to complete work independently and meet deadlines with minimal supervision
- Professional demeanor, strong work ethic
- Demonstrated awareness of and adherence to best practices in data confidentiality and privacy
- Flexible and responsive to evolving office needs
- Preferred: Prior experience in clerical, academic, or administrative settings
